I don't know how to grade coins yet so if you looked at my grading it wouldn't be right. I think the best thing to do is ask them to send you a scan/pic of the coin and let you decide.
If people drove the way they walk, we'd all be dead.
I always fill the swap coin in too in my list, so when people swap with me they can take a look in my list, to see which grades are available for swap, I also sent a picture of the coins before sending it.

I am a freshman on Numista, and for the last couple of days I've been found myself cutting and converting my doubles list so it would fit the template offered by the site.
Unless I misunderstand something, but to my opinion, several details needed for a proper coin evaluation, are missing in this template:
1) There is no place for the coin description, what might be very valuable to eliminate possible mistake with KM#. Sometimes KM no's change is initiated by the catalog publishers.
2) There is no place for the coin's metal composition. Today many coins are made of plated steel and look very similar to their nickel, bronze etc analogues. Sometimes you even don't notice (the steel ones are magnetised).
3) There is no place to mention the condition of the coin what is vital to define its value.
4) There is no place to mention the coin's mintmark. It is important to some collector.
I would suggest allow users upload their doubles lists as Excel worksheets, or enable the specified above fields in the template.

all your questions are already provided for in Numista. It is one of the most perfect sites for coin swap I have seen.
If you click the coin image you can see all details such as metal, year of issue etc..
You can also put in a personal note against each of your coins (applicable only to your coin) such as if the coin is XF or UNC or very bad with scratches etc.. put whatever you want to put.
How to enter your coins to your Numista Collection
under "Enter your collection and your swap coins , you can read:
"In the boxes you can enter:

* personal comments about your coin (in set, fake, grade, catalog value, swap value, etc), in the box . Your personal comment will also be visible to your swap partner."
